Job Title: Executive Assistant to the CEO

Job Summary

9mobile is seeking a highly skilled and dedicated professional to fill the role of Executive Assistant to the Chief Executive Officer (CEO). The successful candidate will be tasked with providing comprehensive administrative and project support directly to the CEO and potentially to other members of the executive management team.

The ideal professional for this role must demonstrate exceptional communication skills, coupled with an uncompromising commitment to a high level of attention to detail. The candidate is expected to possess the requisite ability to work independently and to effectively prioritize or reprioritize tasks as necessary to meet evolving business demands.


Roles and Responsibilities

The Executive Assistant’s primary responsibilities will include, but are not limited to, the following:

  • Executive Support: Providing professional and strictly confidential administrative support to the Chief Executive Officer.
  • Documentation & Reporting: Preparing essential documentation, including monthly reports, critical presentations, corporate submissions, and other required correspondence for the Chief Executive Officer's review and use.
  • Travel and Meeting Management: Coordinating and managing all aspects of the CEO’s business travels, including making necessary bookings and compiling detailed itineraries.
  • Accountability Tracking: Diligently tracking action items and commitments made by staff to the CEO and commitments made by the CEO to others, ensuring all deadlines are met with precision.
  • Presentation & Meeting Coordination: Coordinating internal and external meetings and actively assisting in the development of compelling contents for presentations to be delivered by the CEO.
  • Time and Task Management: Managing multiple simultaneous tasks, often with competing priorities and deadlines, and ensuring their complete and timely finalization within assigned timelines.
  • Communication & Minutes: Coordinating teleconferences and, when required, attending meetings alongside the CEO. The Assistant will be responsible for ensuring accurate minutes of meeting are prepared and circulated promptly to all attendees.
  • Follow-up and Implementation: Documenting all action points identified during meetings and proactively following up with the responsible staff members to ensure the successful and timely implementation of these points.
  • Gatekeeping: Acting as the first line of support for visitors, which includes both local and international guests, ensuring a professional and courteous welcome.
  • Meeting Preparation: Preparing comprehensive meeting agendas and meticulously ensuring that all required documents and necessary background information are readily available for the CEO’s meetings and appointments.
  • Confidentiality & Discretion: Maintaining the highest level of professionalism and strict confidentiality concerning all materials, and exercising impeccable discretion when acting as an interface on behalf of 9mobile.
  • Research & Analysis: Conducting pertinent research on current trends within the Technology, Media, and Telecommunications (TMT) industry and preparing detailed reports on research findings to effectively assist the CEO in making informed business decisions.
  • Ad-hoc Duties: Performing any other duty as may be assigned by the Chief Executive Officer.

Education and Experience

To be considered for this pivotal role, the candidate must meet the following criteria:

  • Education: Possession of a First Degree from a University or Higher National Diploma (HND) from a recognized institution.
  • Experience: Between one to three years of post-National Youth Service Corps (NYSC) work experience.

Skills and Behavior

The successful professional will demonstrate proficiency in the following areas:

  • Technical Proficiency: Proficiency in the use of Microsoft Office Suites (e.g., Word, Excel, PowerPoint, Outlook) is mandatory.
  • Communication & Presentation: Exceptional communications skills (both written and verbal) coupled with excellent presentation and report writing skills.
  • Problem-Solving: Proven track record of excellent problem-solving skills.
  • Project Management: Demonstrated competence in foundational Project Management skills.
  • Interpersonal Abilities: Excellent interpersonal skills to interact effectively with all levels of the organization and external stakeholders.
  • Organization: Superior organizational and planning skills to manage complex schedules and priorities.
